How to Connect Dtravel to Track

Learn how to import Track listings into Dtravel via GuestSmiles.

Overview

Dtravel has partnered with GuestSmiles to connect with many of the top property management software (PMS) companies at no extra cost to Dtravel users. The API connection is similar to a channel manager with the additional benefits of receiving direct bookings through channels such as HomeToGo, MyGolfVacations, and FloridaTravel.com at no additional cost.
 
The GuestSmiles + Track onboarding process consists of four parts:
  1. Create a GuestSmiles account
  1. Activate the GuestSmiles channel within your Track settings
  1. Configure Track for GuestSmiles Bookings
  1. Connect GuestSmiles to your Dtravel account
 

1. Create a GuestSmiles Account

Create a GuestSmiles account by completing the onboarding here. To sign up, enter your name, email, phone, country, and number of properties. Pick a name for your workspace, provide a credit card, and then confirm your subscription via email.
Note: GuestSmiles requests a credit card for payouts from their native channels, but this is not required to use Dtravel.

2. Activate GuestSmiles Within Track

Activating GuestSmiles within Track PMS will enable a connection to Dtravel. To do so, you will need to (1) Create a new Distribution Channel, (2) Assign a Rate Type to the new Distribution Channel, and (3) Submit API & Server Keys to GuestSmiles.
1. Create a new Distribution Channel
  • Go To Configuration (icon in the top right corner)
  • From the “PMS Setup” page select Distribution Channels

2. Assign a Rate Type to the new Distribution Channel
Track requires that a Rate Type be assigned to the new Channel you created. You can assign an existing Rate Type, such as your Rack Rate, or create a new Rate Type to apply only to the GuestSmiles Channel.
If creating a new Rate Type, you can use Type = Derivative which can use one of the other Rate Types as the basis for the new rates. This eliminates the need to recreate all your rates just for the GuestSmiles Channel and will automatically update when the rates in base Rate Type are updated.

  • How do I get to “Rate Types”?
  • Select “Derivative”:

General Settings:
  • General Settings: Select the following General Settings:
    • Create a Code, such as “GS
    • Create a Name, such as “GuestSmiles/Dtravel”
    • Select the GuestSmiles channel that you created
    • Select the remaining boxes as pictured:

  • Derivative Rate Adjustments
    • Select the Parent Rate. We suggest this should be the base rates used for all direct bookings:

3. Submit API & Server Keys to GuestSmiles
This step requires sending Server Keys and API keys to [email protected]. Server keys will enable the deposit and cancellation policies for each property. API Keys authorize access to content from the GuestSmiles channel.
Log in to your Track dashboard. Go to configuration
  • Retrieve Server Keys
    • Go to Configuration
    • Choose the Company Setup Tab
    • Click API Keys:

    • Copy the server key and secret and paste into an email
  • Retrieve API Keys
    • Go to configuration
    • From the “PMS Setup” page choose Distribution Channels
    • Choose GuestSmiles from the list of channels
    • Copy the three codes shown in the API Key area and paste into the email

  • Complete part (c) before sending email.

3. Configure Track for GuestSmiles Bookings

1. Create a New “Reservation Type”
A GuestSmiles Reservation Type should be created to accept reservation charges via GuestSmiles channels.
The “Tape Chart Color” and settings in the “Rate and Commission”, “Guest Settings”, “Security Deposit”, “Housekeeping Settings” and “Regional Settings” should be the same as those set for direct reservations from your own website.
  • Log in to your Track dashboard.
    • Go to configuration
    • From the PMS Setup Window, choose “Reservation Types”:

  • Click on “Reservation Type” to the right

  • Create a reservation type to accept direct bookings for GuestSmiles channels: The “Tape Chart Color” and settings in the “Rate and Commission”, “Guest Settings”, “Security Deposit”, “Housekeeping Settings” and “Regional Settings” should be the same as those set for direct reservations from your own website.

2. Create a Reservation Charge
It is important to set up the Reservation Charge because GuestSmiles partners charge their guests additional commission fees that will be paid to you during the transaction. Note: the Reservation Charge does not apply to Dtravel bookings.
 
  • Go to configuration
  • From the PMS Setup Window, choose “Reservation Charges”:

3. Submit Reservation Charge ID to GuestSmiles
  • Go to Configuration
  • From the PMS Setup Page, Select Reservation Charges
  • Locate the GuestSmiles Fee Reservation Charge in the list
  • Copy the ID number shown in the # field:

4. Connect GuestSmiles to Your Dtravel Account

  1. Log in to your Dtravel account
  1. Visit the PMS Integration section within your Settings
  1. Select Track from the “Import your listings” dropdown
